To install an HTML signature in an email client, the general instructions are as follows. Note that these instructions may vary slightly depending on the specific email client being used, but most desktop clients follow a similar process:

  1. Copy the HTML Signature:
    • The "Copy Signature" button should be programmed to copy the HTML code of the signature to the clipboard. If it's not set up, you can manually select the signature and use Ctrl+C (or Cmd+C on a Mac) to copy it.
  2. Email Client Installation:For most desktop email clients, such as Microsoft Outlook, Apple Mail, or Thunderbird:
    • Outlook:
      • Go to File > Options > Mail and click on “Signatures”.
      • Click “New” to create a new signature and give it a name.
      • In the Edit signature field, paste the copied HTML signature using Ctrl+V (or Cmd+V on a Mac).
      • Set the signature as default for new emails and replies/forwards if desired.
      • Click “OK” to save.
    • Apple Mail:
      • Open Mail and go to Mail > Preferences, then click Signatures.

    • Some web-based clients may not support direct HTML paste, in which case you might need to open the HTML file in a browser, select the signature visually, and then copy and paste it.
  4. Saving and Testing:
    • After pasting the signature, make sure to save your changes.
    • Send a test email to yourself to check if the signature appears correctly.
  5. Mobile Email Clients:
    • As noted, most mobile email clients do not support HTML signatures directly.
    • If your mobile client allows it, you could use the same method as for web clients to paste in the signature. Alternatively, set up your signature on the desktop version, which may then sync to your mobile client if the app supports this.
